Adult day programs

Adult day program software, not childcare software with the ages changed.

Most care software will not touch adult day. DaycareLogix runs it on the same participant record as childcare: attendance against the Medicaid or HCBS authorization, an eMAR with controlled-substance counts, ADL logs, IDDSI diets, and the adult CACFP meal pattern. Starting at $29 a month. Fourteen days free, no card.

Attendance against the authorization

Each participant carries their Medicaid waiver or HCBS authorization: units, dates, payer. Check-in records attendance against it, and the month's claim is built from those days and exported as a CSV for your billing agent or portal.

eMAR with controlled-substance counts

Scheduled and PRN medication passes with overdue alerts, a count on every controlled substance, and a record of who gave what and when.

ADL logs, continence and sleep trends

Assistance with daily living recorded at the point of care, so the care plan review reads from what actually happened rather than what was remembered.

The adult CACFP meal pattern

Menus and meal counts checked against the adult pattern — milk optional at supper, the once-a-day 6-oz yogurt-for-milk swap at lunch — before the claim is built. The same claim engine your childcare side runs, tuned for adults.

IDDSI texture-modified and therapeutic diets

Food texture and drink thickness on the IDDSI scale, per participant, on the menu the kitchen sees. A diet order is a record, not a sticky note.

Incidents, emergency roll-call and licensing records

Body-map incident reports, an emergency roll-call with delivery-receipted family notification, and the staff training and certificate records a licensing visit asks for.

The month, on one record

Attendance is the claim.

An adult day claim is days attended against units authorized. When the check-in at the door is the same record the claim reads from, the month closes without a reconciliation.

  • Authorization on the participant: payer, units, start and end dates.
  • Attendance recorded at the door on a tablet or the staff app.
  • The claim bills the lesser of days attended and days authorized, so a month never claims past the cap.
  • The claim exports as a CSV for your billing agent or the state portal. We build it; you submit it.
  • Senior-friendly screens for staff and families: high contrast, larger type, keyboard-first.

Run childcare too?

Blended operators have been buying two systems and reconciling them by hand. Here a child and an aging adult are the same kind of record, with the same ratios, the same eMAR, the same claim engine and one bill. See blended operators.

What we do not do yet

We do not submit Medicaid claims electronically (EDI 837). The claim is built from attendance and exported as a CSV; your billing agent or state portal submits it.
