1. Who this page is for
Everyone who signs in to DaycareLogix falls into one of two groups:
- Families. Parents, guardians, and the caregivers of adult day participants who use the family portal or the DaycareLogix mobile app.
- Center staff. Directors, teachers, aides, cooks, and administrators at a childcare center or adult day program.
You cannot register for DaycareLogix on your own. A care program invites you, and the records attached to your account (enrollment, attendance, meals, medications, billing) belong to that program. The program is the data controller. EvolvLabs, LLC operates the software and handles those records on the program’s instructions. Because of that, deletion usually goes through your center, and when a request reaches us first we work with the center to carry it out. Our Privacy Policy explains the split in more detail.
2. How to request deletion
Either route below works, so use whichever is easier.
- 1. Ask your center’s director. Directors manage their own roster and can deactivate or remove an account themselves, without going through us. For a staff account it is also part of normal offboarding.
- 2. Email us. Write to [email protected] from the email address the account uses, and say you want the account and its data deleted. Tell us which center you are with so we can find the account.
How we verify you. Sending the request from the account’s own email address is how we confirm the account is yours. We reply to that address and act on the answer. We will not delete an account for someone who does not control its email, and we may ask one confirming question before we start. We never ask for your password.
Deleting the app from your phone does not close your account. Uninstalling removes the app only; to delete the account itself, use one of the two routes above.
3. What happens, and when
- Acknowledgment: within 7 days. We confirm the request and tell you what comes next, including anything we need from your center.
- Access ends promptly. Once the request is verified we deactivate the account, which ends sign-in, the family portal, the mobile app, and notifications.
- Deletion within 30 days. Within 30 days of a verified request we either delete the data or, if one of the retention rules below applies, write back with what is being kept, why, and the date it is scheduled for deletion. Records kept under a retention rule are used for that purpose only.
4. What gets deleted
We delete your sign-in credentials, profile and contact details, notification preferences, the device tokens used to send you push notifications, your messages, any files you uploaded, and the personal information we hold for you as a family member or staff member. The work follows the center’s offboarding process, because the participant record underneath is theirs to close.
5. What we must keep, and for how long
Some records cannot be deleted on request, because a care program is required by law to keep them. The account still closes on the timeline above, and those records are deleted when their retention period ends.
- CACFP and child nutrition records. A program in the USDA Child and Adult Care Food Program must keep the records behind each claim for reimbursement, including enrollment, attendance, meal counts, and menus, for three years after the end of the fiscal year they belong to, plus the current year (7 CFR part 226). If an audit, claim, or investigation is still open, they are kept until it closes. Claim-supporting records are deleted once that period ends.
- Payment and billing records. Invoices, payments, and refunds are kept for as long as financial and tax regulations require. Stripe, Inc. processes payments and holds card data under its own policy and retention rules. We never store a full card number.
- Licensing, health, and safety records. State childcare and adult day licensing rules set their own retention periods for medication and incident records. Your center’s director can tell you which ones apply in your state.
- Security and audit logs. The tamper-evident audit log records that an action happened and who took it. We keep it to investigate abuse and to show that a record has not been altered, and we do not use it to rebuild deleted personal records.
6. If your center has closed or will not respond
Email [email protected] and tell us. When a program has left DaycareLogix or cannot be reached, we act on the request ourselves, on the same timeline and subject to the retention rules above.
