How billing works
A base you can plan around, plus what you actually use.
Your plan includes an allowance of facilities and active participants. Go beyond it in a busy season and you’re metered. Go quiet and you don’t pay for capacity you didn’t use. An active participant is anyone enrolled, child or adult, counted in the billing period; a facility is an active site.

Questions
Good to know.
Do childcare and adult day cost extra as separate products?
No. Both care lines run on the same participant record and the same subscription. You pay for facilities, active participants, and the plan tier, not for two separate systems.
What counts as an "active participant"?
Anyone enrolled, child or adult, counted within the billing period. Seasonal dips mean you're not paying for capacity you aren't using; busy months are metered as overage above your plan's allowance.
Is there an annual option?
Yes. Annual billing works out to roughly two months free versus paying monthly. Usage overage is still metered monthly.
What happens during the free trial?
You get Growth-tier features for 14 days with no card required. If a subscription lapses later, the app goes read-only, so you can still see and download your records. You keep access to your data and billing pages.
What happens to our records if we cancel?
After your subscription ends the app goes read-only for 30 days, so you can sign in and download everything. Then the account is archived and we still hold your records — nothing is deleted automatically. If you want them deleted, email [email protected] and ask. Keeping records for CACFP and licensing retention periods is your responsibility, so take your own copy while you can still sign in.
